Approval Process and Moderation on VerseDB

Most edits go through moderator review before going live. Reviewers (trusted community members and admins) check submissions for accuracy, sourcing, and formatting.

Auto-Approval at Level 25#

Once you reach Level 25 (Guardian), edits that fill empty fields go live immediately — adding a character's birthplace when it was blank, filling in a missing creator bio, or adding the first item to an empty relationship.

Edits that change a field which already has a value always go through moderation, regardless of level. This keeps corrections and overwrites reviewed for accuracy.

The Workflow#

When you submit, the edit enters the queue as Pending. A moderator opens it, sees your proposed change (old vs. new), your level, and any notes you left. They check accuracy, sourcing, neutral language, and formatting.

  • Approved — changes go live, you earn XP
  • Rejected — the change isn't applied and you get feedback explaining why

Review times vary by complexity. Simple fixes (typos, formatting) typically land within a day; standard edits 1–3 days; complex changes (new relationships, new entities) up to a week.

Tip

Well-sourced edits get reviewed faster. Include a reference in your submission notes — printed credits, publisher site, interview, etc.

Why Edits Get Rejected#

Reason How to fix it
Information doesn't match official sources Double-check and include a reference
Formatting inconsistent with existing content Match the style of nearby fields
Opinion or promotional language Keep it neutral and factual
Incomplete or creates inconsistencies Fill in related fields; check consistency
Copied verbatim from another source Paraphrase in your own words

Rejections aren't punishment — they're feedback. Read the notes, adjust, and resubmit.

Content History#

Every approved edit is permanently logged with the old and new values, who changed it, and when. Click View Edit History in the sidebar on any content page to see what's changed over time. Admins can revert problematic changes when needed.

Story Arc Proposals#

Creating a new story arc uses a stricter process because it adds a new entity to the database — all required fields must be complete and related entities must already exist. It also earns a higher XP reward to reflect the extra effort.
